Day 0:  Wednesday: Hotel Check-In


Day 1: Thursday

1.  6:00 am – 6:30 am

Six (6) bound copies (one per judge) of Team Qualifications Package (20 page maximum, 3 hole punch) must be turned in prior to receipt of detailed problem.  Guidelines for the Qualification Package are outlined in the Grading Computation Sheets. GENERAL MEETING - The competition coordinator will review rules, regulations, and Q & A with all competitors. One coach per team may participate.

2.  6:30 am – 7:00 am

Teams meet in their assigned presentation rooms for receipt of the detail problem description and information package (drawings and specifications).  Judges will be introduced to the teams and preview the problem.  One coach per team may participate.

3.  7:00 am – ???? am

Teams may review the detailed problem description and information package.  Judges are available according to their directions.  Teams prepare questions in writing. (Note: Lied restaurant serves breakfast until 10:30am).

4.  7:30 am – ???? am (depends on the division)

If Judges deem necessary (as per their directions), teams may reassemble with the judge written questions.  Judges will attempt to answer or give guidance.  Coaches may not participate. 

5.  8:30 am - 11:30 am

ACCE Workshop training session for industry and faculty

6.  12:00 noon - ????

Golf outing for those interested and if weather permits

7.  12:00 noon

Brown Bag Lunch for all participants

8.  ???? am – 12:00a midnight

Teams work on the problem.  Team proposals must be turned in and stamped by the ASC Competition Coordinator by the 12:00 midnight deadline at the designated place and in the prescribed format. 

Judges will observe the teams in the Competitor’s Rooms at various time throughout the day.  Coach will meet in during the following times:

COORDINATOR'S Coach's Meeting - (called at the coordinator's discretion)
Coaches convene 8:30 (if needed) Marcotte Conference Room
Coaches convene 1:45 (if needed) Marcotte Conference Room
Coaches convene 5:00 (mandatory) Marcotte Conference Room

     (Any meeting with the students during the competition that is deemed necessary by the coach(es) has to be first approved by all of judges in that division in question.  The Competition Coordinator if the first contact if there is a problem)

All other contact with the team members by coaches are to be avoided.  Examples of “means of communication” include but are not limited to: telephone/cell phones,  email/fax, internet.  Questions or perceived emergencies by team members or coaches should be first directed to the Event Coordinator for guidance.  The coaches meetings will be used to address questions of competitors concerns.  Written instructions/clarifications for all teams will be provided if necessary by the coordinator.  


Day 2:  Friday:  Presentation Preparation

  1. Teams may work on presentations.  However, their presentations must be in line with the problem proposal already submitted.  No changes to the proposal will be accepted by the judges.  Presentation material may enhance, explain, or clarify the proposal packages, but may not change or alter the information presented in the written proposal.

  2. Coaches assistance in presentation preparation is limited to review, rehearsal, and critique.  Coaches may “question” the team –but may not provide solutions or answers.  Coaches many not offer any information that changes or alters the information in the written proposal.  No additional problem solving assistance by any coach or third party is permitted.  

  3. Regional Competition Coordinators/Committee reports; meeting in Marcotte room

  4. 9:00am - 9:30a
  5. Industry meeting with Region IV faculty at 9:30am (Marcotte room). All Career Fair industry participants and industry sponsors invited.

  6. Faculty Presentation (if any)

  7. GC Lunch - Faculty, Student, and Industry (Career Fair).

  8. Career Fair is in full swing (starts at 10:30 am)  Lunch will be provided for all of the competing teams, faculty, and Career Fair participants.   The fair and lunch will be located in the West Assembly room.

  9. Region IV Midyear Meeting will be held at 1:30 pm (Marcotte room)

Note:  It is suggested that you check out the presentation room(s) and plan your equipment move to the presentation room and set up carefully for the next day.  Time in excess of allocated 5 minutes from set up will be taken from presentation time, unless otherwise approved by the judges and/or event coordinator. 


Day 3:  Saturday:  Presentations

 Presentations are controlled and monitored by the judges.  They will begin at 7:00 AM in 40 minute intervals:

8:40 AM – 9:20 AM
9:30 AM – 10:10 AM
10:20 AM – 11:00 AM
11:10 AM – 11:50 AM

                        Lunch Break

1:00 PM – 1:40 PM
1:50 PM – 2:30 PM
2:40 PM – 3:20 PM
----- PM – 3:00 PM       Groups meet with Judges for general overview of solution.
3:30 or 4:00 PM                        Awards Reception

 

·         Each team member must present/speak a minimum of two minutes:

-Team presentations begin.
-Each team will be allowed 5 minutes to set up.
-Each team will be allowed 20 minutes to present the solution.
-Each Presentation will be followed by a 10 minute Q&A by the judges.
-Each team will be allowed 5 minutes to break down their presentations.

 

No team member or coach may observe any other team competing in their division until after their team has presented.  Everyone is cautioned not to offer information, or communicate about prior presentations, judging, or the competition directly, indirectly or within hearing distance of any team until that team has completed their presentations.  All competitors are also cautioned not to solicit and avoid the same types of communications, encounters, or contacts with anyone in attendance until after your team has presented.

 Teams my not give gifts or other “promotional” materials to the judges or problem sponsors.
